TARGETED FREIGHT MOVE-IN SCHEDULE

Please review the Targeted Freight Move-In Floor Plan for the North Hall, the Central Hall, the South Hall, and Salon by KBIS for your scheduled freight move-in day and time. Off-target charges will apply for shipments to show site that miss their targeted freight move-in date.

 

If you are shipping materials to the Freeman advance warehouse, these items will be placed at your booth by your targeted freight move-in day and time.

 

If you are shipping materials directly to show site, please schedule setup labor accordingly. Do not schedule setup labor at the exact time of your targeted freight move-in time as the freight’s subsequent arrival at your booth will depend on many factors, such as when the delivery truck checks into the marshaling yard, what position in line the truck is in to be sent to the convention center for unloading, how long it takes Freeman to unload the truck at the loading dock, log in all parts of the shipment and then deliver them to the booth.

 

*Due to the factors of having a tighter show floor, a larger amount of freight throughout the floor, a limited number of loading docks, and the amount of freight being brought into the convention center, we are unable to make any changes to the targeted freight move-in schedule for 2019.

 

MOVE-OUT SCHEDULE 

Exhibitors in the Salon by KBIS must be completely clear by 5:00 PM on Friday, February 22. All outbound carriers must arrive and check-in no later than 2:00 PM on Friday, February 22.

 

Exhibitors in the North, Central, and South Halls must be completely clear of the exhibit hall by 12:00 Noon on Monday, February 25. All outbound carriers must arrive and check-in no later than 8:00 AM on Monday, February 25.

 

EXHIBITOR INSURANCE

As an exhibitor at KBIS, you are required to submit a Certificate of Insurance (COI) from your company.  Show Management requires each exhibiting company and Exhibitor Appointed Contractor (EAC) to carry general liability insurance, automotive liability (if applicable), and workmen’s compensation coverage.

 

If you have not yet submitted a Certificate of Insurance (COI) for KBIS 2019, you must submit this using the Insurance Submission Form found in your KBIS Exhibitor Console by Wednesday, January 16.

 

Please review the Insurance Requirements found in the KBIS 2019 Exhibitor Services Kit as well as the Sample Certificate of Insurance for review.

 

If you don’t currently have insurance that meets the necessary requirements, please contact your insurance provider or you may apply for insurance coverage online with the Marsh Total Event Exhibitor Insurance Program.

 

Exhibitors will not be able to set-up until we have received your certificate of insurance using this link.

EAC NOTIFICATION 

If you will be utilizing any Exhibitor Appointed Contractors at KBIS, please submit information separately for each EAC using the Exhibitor Appointed Contractor Forms found in your KBIS Exhibitor Console by Wednesday, January 16.

 

Show Management also requires a Certificate of Insurance (COI) from every EAC that will be working within your booth. EAC’s must carry general liability insurance, automotive liability (if applicable), and workers compensation coverage matching the coverage required of exhibiting companies. EAC Certificates of Insurance must be submitted using the Insurance Submission Form found in your KBIS Exhibitor Console by Wednesday, January 16.

 

HANGING SIGN APPROVAL FORM

If your booth qualifies for a hanging sign and you plan to have one over your booth, please submit the required information for your hanging sign using the Hanging Sign Form found in your KBIS Exhibitor Console by Wednesday, January 16. By entering this information and receiving approval in advance, you can avoid delays from having to gain approval for your hanging sign onsite.

 

All hanging signs must be shipped to the Freeman advance warehouse using the Warehouse Hanging Sign shipping labels found in the KBIS 2019 Exhibitor Services Kit and arrive between January 9 and February 6.

 

BOOTH CONSTRUCTION & DISPLAY GUIDELINES 

If you have questions about the construction of your booth or want to ensure you are following the “Cubic Content,” hanging sign and other guidelines of KBIS, please refer to the Booth Construction & Display Guidelines and the Rules & Regulations for Exhibiting found in the Show Rules & Regulations section of the KBIS 2019 Exhibitor Services Kit.

 

AFTER HOURS BOOTH FUNCTIONS

KBIS has changed its policies on after hours booth functions held by exhibitors within their booth space:

  • Only exhibitors with booths that are 2,500 sq. ft. or larger may hold after hours functions within their booth space.
  • After hours events on the show floor are limited to after show close and until 6:30pm on the first two show days, February 19 and 20, only.
  • Only media related events are allowed prior to show opening. Events with invited attendees are not allowed prior to show opening on any day.
  • There is a fee of $3,000 per booth function. This fee will be used to extend the hotel shuttles for guests and staff, provide security guards to help keep your guests within your booth space during the function, and extend hall lighting and A/C.

For more information on after hours booth functions or to submit for approval of an after hours booth function, please submit the Pre/Post Show Hours Booth Function Request Form found in your KBIS Exhibitor Console by Wednesday, January 16.

 

FOOD PREPARATION AND SAMPLING 

Exhibitors are allowed to distribute food and/or beverage samples from their booth but all sampling must be approved by Centerplate, the exclusive caterer at the Las Vegas Convention Center. For more information, please contact Christina Noleva with Centerplate.

 

ADVANCE SHIPPING 

Advance shipments to the Freeman Warehouse will begin being accepted on Wednesday, January 9. Please use the Warehouse Shipping Labels found in the KBIS 2019 Exhibitor Services Kit for the hall your booth is located in. The Freeman advance warehouse will accept crates‚ cartons‚ skids‚ trunks/cases and carpets/pads. Loose or pad-wrapped material must be sent directly to show site. If you will be shipping your freight in advance to the Freeman Warehouse, shipments must be received by 2:00 PM on Wednesday, February 6 to avoid late charges.

 

DIRECT SHIPPING 

If you plan to ship your freight directly to the Las Vegas Convention Center, shipments should arrive based on your scheduled target freight move-in date. Please use the Show Site Shipping Labels found in the KBIS 2019 Exhibitor Services Kit  for the hall your booth is located in. Shipments will not be accepted at the Las Vegas Convention Center prior to February 13 and off-target charges will apply for shipments to show site that miss their assigned targeted freight move-in date.

TRANSPORTATION 

Hotel Shuttles: KBIS offers complimentary shuttle service between the hotels in the KBIS hotel block and the Las Vegas Convention Center. Click here to download the hotel shuttle schedule.

 

Uber & Lyft: DCW is once again partnering with Uber and Lyft to provide you will transportation in Las Vegas. Uber is offering a $15 discount for new riders using the code “DCW2019”. Lyft is offering $20 in free ride credit ($2 off 10 rides) for new riders using the code “DCW2019”.

 

LASxpress: With KBIS back in Las Vegas, we are again partnering with LASxpress airport transportation service and are offering cost-effective transportation service between McCarran International Airport and your hotel.
